Privacy Policy

This describes how ReadyFactor handles information on this website (www.readyfactor.app) and the ReadyFactor readiness platform (go.readyfactor.app). We’ve written it to be specific about what is actually collected rather than to reserve every right we could.

The short version

We collect what you type into the invite form, and what your team records during a setup run. We don’t use tracking cookies, we don’t build advertising profiles, we don’t sell anything to anyone, and helpers can use the product without creating an account or giving us their email address.

If you request an invite

The invite form on this site collects your name, email address and organization, plus — where you provide them — your team type, approximate team size, and any note you add. We also record which page you submitted from and which button you used, so we can tell which parts of the site are doing their job.

We store a one-way cryptographic hash of your IP address, salted with a secret, purely to rate-limit submissions and spot duplicates. Your actual IP address is never written to our database and cannot be recovered from the hash.

We use all of this only to review your request and, if we bring your team in, to set up your account. We don’t add you to a marketing list.

If you use the platform as a helper

Helpers join a run by scanning a code and typing a display name. That is the whole account. We do not ask a helper for an email address, a password, or a phone number, and no personal account is created.

What the coordinator running that setup can see is your display name, the zone you joined, which tasks you completed and when, any help request or issue you raised, and any photo you deliberately attach to a task. That is the point of the product — it is how the room gets signed off — but it is worth being plain that your progress is visible to whoever is coordinating the run.

If you use the platform as a coordinator

Coordinators have real accounts, so we hold your email address, your display name, your role in the organization, and the runs, zones, tasks, gear and reports your organization creates. If you turn on browser notifications we store the subscription your browser issues so we can deliver them.

Runs keep an activity record — what happened, when, and who it was attributed to. That record is what a readiness report is built from, so it is deliberately not editable after the fact.

Analytics, cookies, and storage

This website sets no cookies at all. There is no Google Analytics, no advertising pixel, and no cross-site tracking.

We do count five anonymous things, to know whether the site works: that a visitor reached the top of the home page, that a call-to-action was clicked, that the invite form was submitted, that it succeeded, and that someone scrolled three-quarters of the way down a page. Each one carries at most a page path, which button was used, and whether you arrived from a search engine, a social network, or directly — as a category, never the actual referring address. The endpoint that receives these accepts only that fixed list of values and rejects anything else, so no personal data can reach it even by accident. These counts are written to our server logs and not stored in any database.

The site stores one item in your browser’s session storage, a flag so the scroll count is not sent twice in the same visit. It disappears when you close the tab.

The invite form is protected by Cloudflare Turnstile, which checks that a submission comes from a real browser rather than a bot. Turnstile may set its own storage on that page to remember a passed check.

Who else handles this data

We keep the list of companies involved deliberately short. Cloudflare serves this website and the platform, and provides the bot check on the invite form. Supabase hosts our database and the photos attached to tasks. Resend delivers the emails we send. Each one processes this information only to run ReadyFactor on our instructions, and none of them is permitted to use it for their own purposes. We do not sell or rent personal information, and we have no advertising partners.

Where it is stored

Our database and uploaded photos are held in the United States. If you are using ReadyFactor from elsewhere, your information is transferred to and processed there.

How long we keep it

Invite requests are kept while we’re reviewing them and for as long as your team is in the pilot. Run data — including the readiness report — is kept for as long as your organization’s account is open, because the record is the thing being paid for. Ask us and we will delete either.

Your choices

Write to us and we will tell you what we hold about you, correct it, or delete it. If you are a helper who worked a run and want your name removed from it, contact the organization that ran the setup, or us — we can act on it either way, though removing a name from a signed-off report changes a record someone may be relying on, and we will tell you if that is the case.

Children

ReadyFactor is a tool for people running an organization’s setup, and it is not directed at children. We do not knowingly collect information from anyone under 13. Because helpers join with only a display name, we generally have no way to know a participant’s age — if a young volunteer’s name appears in a run and you want it removed, tell us and we will remove it.

Security

Access to organization data is enforced in the database itself, so one organization cannot read another’s runs. Invite links are stored as hashes rather than as the link itself, connections are encrypted in transit, and access to production is limited to people who need it. No system is perfect, and we would rather say that than claim otherwise.

Changes

We will update this page as the product grows, and change the date at the top when we do. If a change materially affects how we handle information about you, we will say so directly rather than quietly editing this page.
